Elite Accounting Partners ("we", "us") operates Grokbot, an internal AI assistant used by our staff to work with data from Xero Practice Manager.

Data we collect

When a staff member connects Grokbot to Xero, we receive practice data including client names and contact details, jobs, staff records, time entries, and related financial information. We also collect staff account details needed to authenticate access.

How we use it

We use this data solely to provide the Grokbot service to our own staff — answering questions, drafting documents, and automating routine practice tasks. We do not sell, rent, or share it with any third party for marketing.

Third-party access

Grokbot sends relevant data to an AI model provider to generate responses. This is a functionally required third-party service. The provider processes data only to return answers to us and does not use it to train or improve its models. No other third party receives Xero data.

Retention and deletion

We retain data only as long as needed for the service, then delete or anonymise it. Staff can request deletion of their data at any time by contacting info@caelites.com.

Security

Data is encrypted in transit and at rest, access is limited to authorised staff, and we log access for audit purposes.
